Work Calendar / Shifts

What you manage in one place

  • Working hours and working days
  • Shift definitions
  • Leave requests and approvals
  • Public holidays across the year
  • Per-user calendar statuses

The user calendar

Every employee has their own calendar and it can diverge from the general one. Part-time staff, people on a different shift and temporary arrangements do not need a separate calendar built for them; you define a status on the user calendar and handle the exception there.

Why it affects measurement

The work calendar is not only used for timekeeping — it also bounds the measurement. When time outside the calendar is excluded, no out-of-hours data is collected at all. For remote teams that setting is the most practical way to satisfy the data minimisation principle in Article 5(1)(c).

Frequently asked questions

Are shifts supported?
Yes. You can define different working hours and assign them to users; timekeeping and overtime are calculated against the assigned calendar.
How do leave requests work?
The employee raises the request in the system and an authorised user approves or rejects it. Approved leave is written to the calendar and those days appear as leave in attendance calculations.
Do I have to enter public holidays one by one?
You can define the year's holidays on the calendar in bulk. They then apply to every user attached to that calendar.
